Track Your Bids
Read the KPI cards on My Bids, navigate the status tabs, understand what each bid status means, and know where plan limits apply.
What you'll learn
- Read your KPI cards and understand what each metric tells you about your bidding performance
- Use the tabs to find bids by status quickly
- Know what each bid status means and what action (if any) it requires from you
- Understand monthly bid limits on Explore and Grow plans
After you submit a bid, you need somewhere to track what is happening to it. Is the buyer still reviewing it? Did they award it to someone else? Do you have a draft that you started last week and forgot about? The Bids page answers all of those questions in one place, across every bid your company has ever created.
Why this matters
A supplier who does not track their bids actively tends to miss award notifications, overlook follow-up opportunities with buyers they won work from, and repeat mistakes because they never reviewed what lost bids had in common. A few minutes on the Bids page each week keeps you on top of every active opportunity and builds the historical data you need to improve over time.
The KPI strip: your bidding performance at a glance
Your first week tracking bids
You have submitted six bids in total this month. On the Bids page, you see: Awarded 1, Active 2, Win Rate 50%, Rejected 1, Drafts 2. The win rate is a strict awarded-vs-rejected calculation: only bids the buyer has actually decided on count, so here it is 1 award out of 2 decided outcomes (1 awarded + 1 rejected), or 50%. The two active bids are still awaiting a decision and are not yet counted either way, and the two drafts are not counted at all, they are bids you started but have not sent to any buyer yet.
The five KPI cards at the top of the page give you a summary of where your bids stand:
| KPI card | What it counts | What it tells you |
|---|---|---|
| Awarded | Bids the buyer awarded to you. | Your total wins on the platform, the most direct measure of revenue earned through VEXORS. |
| Active | Bids you have submitted that are awaiting the buyer's decision. | How many live bids you have in play right now. |
| Win Rate | Awarded bids as a percentage of decided outcomes only: awarded ÷ (awarded + rejected). | Your conversion rate on bids the buyer has actually ruled on. Active, pending approval, drafts, and withdrawn bids are all excluded, an undecided bid is neither a win nor a loss yet. |
| Rejected | Bids the buyer did not award to you. | Your loss volume. Open the Lost tab to run AI Bid Insights on any of these. |
| Drafts | Bids you started but have not submitted yet. | Work in progress. Every draft here is an opportunity that has not been acted on. |
The tabs: find bids by status
Below the KPI strip, a row of tabs filters your full bid history. Six tabs render by default: All, Pending Approval, Active, Won, Lost, and Drafts. A seventh, Withdrawn, appears only once you have at least one withdrawn bid, so it never sits there empty. Use the search box above the tabs to find bids by title, and the type filter to narrow to RFQ, RFP, or RFI requests.
All Bids, your complete history
The All tab shows every bid regardless of status. Use it when you need a complete picture or when you are looking for a specific bid by title using the search box. The tab count badge shows your total bid count.
Pending Approval, awaiting your team's sign-off
The Pending Approval tab shows bids you submitted for internal review that are waiting for an approver on your team to sign off. The bid has not reached the buyer yet.
If a bid has been in this tab for longer than expected, the approver may not have seen the notification. You can follow up internally or, depending on your team's setup, ask an admin to reassign the approval.
Active, bids with the buyer
The Active tab shows bids that have been submitted to the buyer and are awaiting their decision. You cannot edit an active bid. The buyer is reviewing your submission alongside any other bids received.
If the buyer revises the request after you submit, you may receive a notification to review and update your bid. Check this tab after any notification about a request change.
Won, your awarded bids
The Won tab shows every bid the buyer awarded to you. Won cards display the contract value and give you two immediate actions: view the Award notice and open Chat with the buyer. From here you can also rate the buyer after the contract is delivered.
Winning a bid positively affects your Trust Score.
Lost, bids where you were not selected
The Lost tab shows bids where the buyer chose a different supplier. This does not affect your Trust Score.
Each Lost card lets you generate AI Bid Insights. A credit preflight dialog confirms the cost before you run it, then the analysis expands inline on the card, explaining why you likely lost, how your bid compared to the winning outcome, and specific tips for similar requests in the future. Each generation draws on AI credits.
Running AI Bid Insights on two or three consecutive losses in the same category often reveals a repeating pattern you can fix in one decision, a pricing gap, a missing certification, or an incomplete questionnaire answer.
Drafts, work in progress
The Drafts tab shows bids you started in the wizard but have not submitted yet. Drafts are only visible to your company. Open any draft to continue from where you left off.
If the request associated with a draft has expired, been cancelled, or been awarded to another supplier while your draft was sitting unsent, the draft is marked as a terminal draft. You can no longer submit it, but you can still view what you had prepared.
Withdrawn, bids you pulled back
The Withdrawn tab appears when you have at least one withdrawn bid. Withdrawal means you submitted a bid and then chose to pull it back before the buyer made a decision. The buyer is notified when a bid is withdrawn. A withdrawn bid can be reopened to a Draft and re-submitted as long as the request is still published and the bid has not been frozen for compliance review, use the Reopen action on the bid to bring it back.
What each bid status means
| Status | What it means | What you can do |
|---|---|---|
| Draft | Your bid exists but the buyer has not seen it. | Edit it, submit it, or delete it. |
| Pending Approval | You submitted for internal review. An approver on your team needs to sign off before it reaches the buyer. | Follow up with your approver. Wait for sign-off. |
| Active (Submitted) | Your bid is with the buyer. They can see it but no decision has been made yet. | Wait. Watch for buyer messages in Chat. |
| Awarded (Won) | The buyer selected your bid. | View the Award, message the buyer, rate them after delivery. |
| Not Selected (Lost) | The buyer chose a different supplier. | Run AI Bid Insights to learn from the outcome. |
| Withdrawn | You pulled the bid back after submitting it. | Reopen it to a Draft and re-submit, as long as the request is still published and the bid is not frozen for compliance review. |
A bid that has been frozen for compliance review cannot be reopened or withdrawn until the freeze is lifted, regardless of its status or the request's status.
Your bid's total may also carry two disclosures near the grand total: a count of rate-only lines that are excluded from the priced total (their pricing is settled after measurement), and, if you responded to any section with a single lump-sum price, a note showing how many sections were priced that way.
Monthly bid limits on Explore and Grow
Explore and Grow plans include a monthly limit on the number of bids you can submit. A banner at the top of the Bids page shows how many bids you have used this month and how many remain.
When you reach the limit, you cannot start a new bid until the next month starts or you upgrade. Drafts you already started can still be submitted. Upgrade at Settings under Billing.
Scale plans have no monthly bid limit.
