Opening 0:00

Every tower starts as three documents. Drawings, specifications, and a BoQ with no prices on it yet. VEXORS is where those lines get priced. Packages go out to bidders, bidders to their suppliers, and every price has to climb back up the tree. Today, that tree runs on email, spreadsheets and WhatsApp. And the lowest number wins, because nobody had time to check it. The same job. One system.

The packages 0:48

Upload the BoQ, the specifications and the drawings. VEXORS splits it into trade packages, and tracks each one from draft to award. The AI writes the scope of each package from your BoQ and your specification. Before it goes out, the AI finds the gaps a bidder would price later as variations. Nothing is published on an OK in a chat. The approver decides. Named, dated, on record. Your team, your rules. Who sees what, and who can do what.

The enquiry 1:53

Invite your bidders. See who confirmed, and chase who did not. Every bidder receives exactly the same package. One question, answered to all. Change the BoQ, and every bidder is told to re-price.

The sub-tender 2:28

Now the subcontractor needs prices of his own. He selects the lines he buys in, and creates a sub-tender. His own suppliers. His own comparison. Same system, one level down. Before he submits, the AI checks his bid against the specification. Better bids move up the chain. Five priced bids reach the main contractor.

The evaluation 3:05

The lowest is forty-one percent under estimate. Too good to be true? The AI adds back what each bid left out, and the cheapest bid is suddenly not the cheapest. Open it. Six concerns, and each one becomes a variation later. Ranked on the facts, the cheapest bid drops from first to last.

The award 4:00

You make the award. To one bidder, or split by section.

The submission 4:08

Award by award, the prices return to one BoQ. One priced BoQ for your client. And two lines not on his BoQ, flagged before they cost you. Two years later, the client disputes those two lines. Every step was already on record. Who priced them, who approved, and when. And across every tender: what you spent, what you saved, and who delivered. One BoQ. Every price checked. Every decision kept. Tender once. Price with certainty. Keep the proof. VEXORS.

The problem

Four weeks, forty packages, and a comparison sheet built by hand.

  • Every quotation arrives in a different shape. One subcontractor prices your BoQ, one sends a lump sum, one prices his own scope. Someone rebuilds all of it into a comparison sheet the night before submission.

  • The unpriced items hide. Two days out, nobody can say which items have no real price behind them. They get an allowance, and the allowance becomes your risk.

  • Exclusions get carried. Scaffolding, testing, authority approvals. Excluded on page four of a qualification letter nobody read, carried into your price, and back eighteen months later as a claim.

  • Nothing is on record. The answer that reached two bidders out of five. The revision some priced and others did not. The reason the second-lowest bid won. All of it in inboxes and WhatsApp groups.

Every tier of the supply chain

One tender runs through three tiers.

The main contractor splits the client's BoQ into trade packages. Each subcontractor prices a package and tenders the lines it buys in to its own suppliers, on the same system. Prices, qualifications and revisions travel back up in the same structure, so every price that reaches the client can be traced to the bid behind it.

  1. Main contractors tender every trade package and level every bid before carrying a price.

  2. Subcontractors receive packages ready to price, tender their own suppliers, and get an AI check before they submit.

  3. Suppliers price the items they are sent in a browser or on their phone, free.

How it works

From the client's BoQ to your submission.

  1. Enquiries out to every trade.

Import the client's BoQ as issued. AI reviews it against the specification and lists the items nobody can price honestly, so your queries reach the consultant early. VEXORS splits the BoQ into trade packages with scopes drafted by AI, and you send them to the subcontractors and suppliers you already work with.

  2. Quotations in one structure.

Every bidder prices the same items, in the same units and order, itemised or lump sum section by section as you decide. Before they submit, AI checks each bid for blank prices and missed items. The comparison sheet builds itself as quotations arrive.

  3. Every bid levelled and evaluated.

Unpriced items are priced back in, so totals compare on the same scope. AI scores every bid against your technical and commercial criteria, flags abnormal rates and exceptions to your terms, and writes out its recommendation.

  4. Award and submit.

Award a package whole or split it by section or item. The rates you carry go straight into your priced BoQ, with your preliminaries and markup, ready to submit.

Every award decision stays with you and your approvers.

AI at every step

AI reads every item of every bid, so the price you carry is one you can defend.

Five bids on a 186-item package means 930 prices, five qualification letters and a stack of technical answers, usually read the night before submission. VEXORS reads all of it on every tender and shows you the item behind every flag, with the reason written out.

  1. 1

    Before enquiries go out

    • Reviews the client's BoQ against the specification before enquiries go out
    • Drafts the scope of every trade package
    What changes

Your queries reach the consultant while there is still time for an answer, and every trade prices the same scope.

  2. 2

    While the bids come in

    • Checks each bid for blank prices and missed items before it is submitted
    • Flags abnormal rates and exceptions to your terms
    What changes

Gaps are closed before bids are sent, and the rates and terms that do not add up are marked as each bid lands.

  3. 3

    Before you award

    • Scores every bid against your technical and commercial criteria, with reasons
    • Writes out its recommendation, and the award stays yours
    What changes

Front-loaded rates, silent gaps and costly terms reach you with their price attached, before they become your risk.

Every flag shows the item behind it and every score its reason. The award stays with you and your approvers.

The lowest bid, levelled

Five bids on one package. The lowest was 41% under the estimate.

Bidder E left 38 of 186 items unpriced. Priced back in, those items put it last. Bidder A, fourth on paper, comes out first.

Illustrative example: plumbing and drainage, 186 items, estimate AED 3.40m.

On the record

Every decision you can explain later.

When the client, an auditor or your own management asks why a package went to the bidder it did, the answer is already written: the scores and their reasons, the approvals by name, and every answer and revision that reached every bidder.

  • Named approvals before a tender is published or awarded

  • One answer, every bidder, on a shared question board

  • Revisions reach everyone, and bids priced on the old version are flagged

  • Invitation only means only the firms you invite see the package

  • Rights per person for who can publish, award or view

  • The full trail of who did what, and when

Straight answers

The questions a commercial team asks before it moves a tender off email and spreadsheets.

We already have our subcontractors.
Invite them. VEXORS never pushes you toward firms you have not chosen.
Our subcontractors will not learn new software.
They register free from your invitation and price your package in a browser or on their phone. It is quicker than retyping your spreadsheet into theirs.
We only have three weeks.
Enquiries can go out the day you upload the BoQ, and the comparison sheet builds while the quotations arrive.
Our tenders are confidential.
Invitation only means exactly that: only the firms you invite see the package.
Does it replace our ERP?
No. It covers the tender, from the client's BoQ to your submission. Contracts, site and payments stay where they are.
How long to set up?
Your first tender can go out the day you sign up. There is no implementation project.
Beyond construction

Not in construction? The same tender works for anything you buy.

RFQs for materials and parts, RFPs for services, RFIs to qualify suppliers: the same structure, the same comparison and the same AI evaluation, for procurement teams in any industry.
