Opening 0:00

Every tower starts as three documents. Drawings, specifications, and a BoQ with no prices on it yet. VEXORS is where those lines get priced. Packages go out to bidders, bidders to their suppliers, and every price has to climb back up the tree. Today, that tree runs on email, spreadsheets and WhatsApp. And the lowest number wins, because nobody had time to check it. The same job. One system.

The packages 0:48

Upload the BoQ, the specifications and the drawings. VEXORS splits it into trade packages, and tracks each one from draft to award. The AI writes the scope of each package from your BoQ and your specification. Before it goes out, the AI finds the gaps a bidder would price later as variations. Nothing is published on an OK in a chat. The approver decides. Named, dated, on record. Your team, your rules. Who sees what, and who can do what.

The enquiry 1:53

Invite your bidders. See who confirmed, and chase who did not. Every bidder receives exactly the same package. One question, answered to all. Change the BoQ, and every bidder is told to re-price.

The sub-tender 2:28

Now the subcontractor needs prices of his own. He selects the lines he buys in, and creates a sub-tender. His own suppliers. His own comparison. Same system, one level down. Before he submits, the AI checks his bid against the specification. Better bids move up the chain. Five priced bids reach the main contractor.

The evaluation 3:05

The lowest is forty-one percent under estimate. Too good to be true? The AI adds back what each bid left out, and the cheapest bid is suddenly not the cheapest. Open it. Six concerns, and each one becomes a variation later. Ranked on the facts, the cheapest bid drops from first to last.

The award 4:00

You make the award. To one bidder, or split by section.

The submission 4:08

Award by award, the prices return to one BoQ. One priced BoQ for your client. And two lines not on his BoQ, flagged before they cost you. Two years later, the client disputes those two lines. Every step was already on record. Who priced them, who approved, and when. And across every tender: what you spent, what you saved, and who delivered. One BoQ. Every price checked. Every decision kept. Tender once. Price with certainty. Keep the proof. VEXORS.

What is construction tendering software?

Construction tendering software runs the tender stage of a project: the client's bill of quantities goes out to every trade as enquiries, and the quotations come back in one structure that can be levelled and compared. On VEXORS, AI reviews the BoQ before it goes out and evaluates every bid before you carry a price into your tender.

The tender stage today

The tender you submit is the contract you live with.

  • Nothing lines up. One subcontractor prices your BoQ, another sends a lump sum with two pages of qualifications, a third quotes his own scope. The comparison sheet is rebuilt by hand, usually at night.
  • The gaps have no owner. Two days before submission, nobody can say which items still have no real price. They get an allowance, and you are bound to it.
  • Exclusions get carried. The waterproofing subcontractor excluded the upstands on page four. His number went into your BoQ, the client accepted your price, and the missing work is now yours.
  • The BoQ and the spec disagree. The item says blockwork, the specification calls for something dearer, the drawing shows a third thing. You find out which one your subcontractor priced when it is too late to ask.
  • Revisions miss people. Drawing revision C reached three bidders out of five, and the lowest bid was priced on revision B.

Every trade priced on the same BoQ.

The client's BoQ splits into trade packages, and every bidder's quotation returns in the same structure. Item rates or a lump sum, section by section, so plumbing prices compare with plumbing, with nothing rebuilt by hand.

Gaps, exclusions and abnormal rates found before you submit.

AI reviews the BoQ before it goes out and every bid before you carry a price into your tender: items too thin to price, rates far from the other bids, and exceptions to your terms, each with the reason beside it.

Your priced BoQ ready at the deadline.

Unpriced items are priced back in, the rates you carry land on the master BoQ beside your own estimate, and preliminaries and markup apply by trade. The submission comes straight out of it, with nothing to rebuild at the deadline.

How a tender runs on VEXORS

From the client's BoQ to your submission, in five stages.

Import and review

The BoQ arrives.

Import the client's BoQ exactly as issued, with its sections, provisional sums, PC sums and rate-only items intact. Rows missing a quantity or a unit are flagged, never filled in. AI reviews every item against the specification and lists what cannot be priced honestly, so your queries reach the consultant in the first days of the tender.

  • Sections, provisional sums, PC sums and rate-only items imported intact
  • A row missing a quantity or a unit is flagged, never filled in
  • AI reviews every item against the specification
  • Queries reach the consultant in the first days of the tender
Enquiries

Enquiries go out.

VEXORS splits the BoQ into trade packages and AI drafts each scope from the BoQ and the specification. For each section you choose item rates or a lump sum, the documents bidders receive, and the questions they must answer. Send each package to your own subcontractors and suppliers, by invitation only or open to the market.

  • The BoQ splits into trade packages, scope drafted by AI from the BoQ and the specification
  • Item rates or a lump sum, chosen section by section
  • Documents and required questions set per package
  • Sent by invitation only, or open to the market
Quotations

Quotations come in.

Every quotation arrives in the same structure, so the comparison sheet builds as they land. Coverage shows which items have a real price, which are thin and which have none. Questions are answered once, to every bidder. A revision reaches everyone, and a bid priced on the old one is flagged. Your subcontractors can tender their own suppliers on the same system.

  • A question answered once reaches every bidder

Levelling

Bids are levelled.

Unpriced items are priced back in at your estimate, or at the median of the other bids, so totals compare on the same scope. AI scores every bid against your technical and commercial criteria, flags abnormal rates and exceptions to your terms, and writes out its recommendation. Award a package whole or split it by section or item, with named approvals.

Submission

The tender goes in.

The rates you carry land on the master BoQ beside your own estimate, so you see the difference before you commit. Price your own work, set preliminaries itemised or as a percentage, and apply markup by tender or by trade. The priced BoQ for submission comes straight out of it, with nothing to rebuild at the deadline.

  • Price your own work alongside the trade packages
  • Preliminaries itemised or as a percentage; markup by tender or by trade
  • The priced BoQ for submission comes straight out of it
Commercial detail

The parts of a real BoQ that generic tools cannot handle.

  • Provisional sums and PC sums, with attendance and profit
  • Remeasurable items priced as rates
  • Preliminaries itemised or as a percentage
  • Retention, advance payment and bond terms set out for every bidder
  • Item rates or a lump sum, section by section
  • The method of measurement stated in the enquiry
  • Quotations in several currencies at controlled exchange rates
  • Nominated subcontractors on PC sum work
Side by side

The tender stage on email and spreadsheets, against VEXORS.

  • Quotations

    Email and spreadsheets
One bidder prices by item, another sends a lump sum, a third quotes his own scope.
    On VEXORS
Every quotation returns in the same structure as your BoQ, section by section.
  • Unpriced items

    Email and spreadsheets
An item with no price gets an allowance, and you are bound to it.
    On VEXORS
Priced back in at your estimate, or the median of the other bids, before totals compare.
  • Carried exclusions

    Email and spreadsheets
An exclusion on page four of a lump sum quietly becomes your scope.
    On VEXORS
AI reviews every bid before you carry a price, and flags what a bidder has excluded.
  • BoQ against specification

    Email and spreadsheets
The item, the specification and the drawing each say something different, and nobody notices until it is priced.
    On VEXORS
AI checks the BoQ against the specification before enquiries go out.
  • Revisions

    Email and spreadsheets
A revision reaches three bidders out of five, and the lowest bid is still on the old one.
    On VEXORS
A revision reaches every bidder at once, and a bid priced on the old one is flagged.
  • Questions

    Email and spreadsheets
A question gets answered by email, to one bidder, and the rest price blind.
    On VEXORS
A question is answered once and published to every bidder.
  • Abnormal rates

    Email and spreadsheets
A rate far under the market slips through because nobody has time to check every item by hand.
    On VEXORS
Every rate is checked against the median of the other bids, and an outlier is flagged with its ratio.
  • Carrying rates into your BoQ

    Email and spreadsheets
Rates are retyped from a quotation PDF into your own BoQ, one line at a time.
    On VEXORS
The rates you carry land on the master BoQ beside your own estimate.
  • Keeping a lost tender

    Email and spreadsheets
The quotations and the file are gone with the inbox that held them.
    On VEXORS
Mark it lost and the quotations, the rates and the whole file stay with you for the next one.
When you lose the job

Keep everything for the next one.

Mark the tender lost and the quotations, the rates and the whole file stay with you for the next pursuit, along with a clear view of what the market was charging that month.
